A vehicle in stock is not always ready to retail. AutoScope’s integration plan uses approved lifecycle information to help marketing and operations agree on what is ready to promote.

Acquisition, inspection, reconditioning and merchandising are different milestones. Promoting a vehicle before those handoffs are complete can create a poor shopper experience, while waiting too long after it is ready can waste useful selling time. The integration plan should make readiness a shared definition between operations and marketing.

01 · THE WORKFLOW

Start with the decision.

Separate ready-to-retail vehicles from work in progress; review stalled handoffs; plan launch timing around confirmed readiness.

Choose the milestone that authorizes retail promotion, then work backward through the preceding stages. Identify who updates each status and who resolves a stalled handoff. The aim is not to reproduce the recon board in another tool; it is to give the marketing team a dependable signal and give managers a clear view of exceptions.

02 · THE INFORMATION

Scope the right fields.

VIN or stock number, inspection or recon stage, stage timestamps and an agreed retail-ready status.

Pair the vehicle identifier with the current stage, the time it entered that stage and the latest update. Preserve the difference between a completed task and an overall ready-to-retail status. If estimated completion dates are available and approved, label them as estimates rather than treating them as firm promises to shoppers.

03 · THE CONNECTION

Confirm access first.

Agree on the retail-ready definition, who owns status updates, stale-data handling and available export or API access. AutoScope does not assume control of recon tasks.

Review the stages and fields actually available in the dealership’s account before designing the connection. A report may describe current status without providing stage history. Where history is unavailable, do not imply that total time-in-stage can be reconstructed reliably. Updates to tasks, inspections or assignments remain outside a read-only planning workflow.

Missing information stays visible. We do not fill gaps with invented records, assume two similar names represent the same customer, or treat a successful file transfer as proof that the business data is correct.

We assess provider-approved APIs, feeds or exports available to your account. Together, we define field mappings, data direction, refresh timing and who handles exceptions. If access is not available, we explain the gap before promising delivery.

Validate before relying on it.

Trace sample vehicles through the agreed stages and compare their readiness with the operating team’s view. Include a reopened task, a vehicle on hold and a record with a missing timestamp. Check that incomplete or stale information prompts review rather than silently authorizing a campaign.

Match sample records against the source, check missing or duplicate records and test stale-data handling. Agree on the success criteria with your team before a workflow goes live.

Define success before launch.

Measure the coverage and freshness of the agreed readiness status, unresolved handoffs and the delay between confirmed readiness and marketing review. Do not infer recon productivity from incomplete stage histories.

01 · AGREE

Choose the first workflow.

Identify the decision, dealership owner and source report. Record the fields, permissions, exclusions and success criteria. Confirm any vendor charges before the work depends on them.

02 · PROVE

Reconcile a controlled sample.

Validate the mapping with representative records, including exceptions. Review the result with your team and resolve discrepancies before expanding the data or relying on the output.

03 · OPERATE

Make refreshes accountable.

Agree on a refresh schedule, a visible last-successful-update time and a contact for failed or incomplete transfers. Document how access can be revoked and how the workflow is paused if the source changes.

Is an inspection-complete vehicle automatically ready to advertise?

Not necessarily. Your store may also require repairs, cleaning, photos, price approval or other steps. The connection should use the milestone your team agrees is sufficient for promotion. If that milestone is not recorded consistently, fixing the definition is part of the setup work.

What if our account only supports exports?

We assess whether an approved export provides the fields and timing your workflow needs. A scheduled review can be useful without real-time access. The plan should state who produces the export, how it is transferred securely and how incomplete or delayed files are handled. If the export cannot support the goal, we explain the gap.

What happens when information is stale or missing?

The agreed workflow should expose freshness and exceptions. A failed update is not an empty dealership, a missing outcome is not a lost sale, and an absent activity field is not proof of inaction. We define when the result needs manual review and when dependent actions should pause.

What should we bring to the first conversation?

Bring the product and modules you use, the dealership contact who can approve access, a description of the handoff you want to improve and a redacted example of the report you use today. Do not send passwords or unapproved customer records. We can define the appropriate access route after the workflow is understood.

Can this expand to multiple rooftops?

That is a scoping question, not an automatic extension. Each store needs clear identifiers, appropriate access and compatible definitions. We reconcile stores separately before combining them, so a group summary does not hide local differences or access restrictions.
